Job Description: Administrative and Personal Assistant to the Director, Center for Dialogues

The New York University Center for Dialogues: Islamic World-U.S.-The West was established after September 11, 2001 to provide a structured forum for sustained communication involving voices from all sectors of Islamic and American/Western societies. Dedicated to the search for reasonable solutions to the misunderstandings and conflicts that have arisen between the Islamic world and the West, the Center for Dialogues sponsors conferences and other events, and develops media and educational material to promote understanding, and, through policy recommendations, works towards creating a peaceful relationship between the Western and Muslim worlds.

The Center for Dialogues seeks self-motivated, detail-oriented applicants for the position of full-time administrative and personal assistant. Reporting to the Director of the Center, the administrative and personal assistant will provide comprehensive administrative support to the program, including:

  • Responding to routine inquiries and referring non-routine inquiries to appropriate staff. Liaising with other NYU offices, including FAS Fiscal Services, Payroll, ITS, Office of Sponsored Programs, Sponsored Programs Accounting, Treasurer's Office, Purchasing, Public Affairs, Building Services, Catering, Campus Media, Accounts Payable, and Advertising and Publications on issues such as payment requests, casual payrolls, purchasing and installing equipment, grant reporting, maintaining grant accounts in proper order, facilities problems, and media outreach.
  • Making arrangements for University and other domestic and international events (e.g., assisting with planning and implementing new programs and events; arranging and attending planning meetings; taking notes and summarizing meeting results; providing written summaries; drafting, preparing, and distributing invitations, announcements and various materials; maintaining record of responses; arranging for participant travel and lodging, event space, catering and audio-visual equipment). Attending events (e.g., greeting guests, monitoring attendance, troubleshooting, and taking notes of the proceedings).
  • Other clerical duties, including greeting visitors and answering phones; maintaining database of contacts; organizing and maintaining program files; compiling materials for the program's website; monitoring and replenishing supplies; researching topics relevant to program activities and funding; compiling news clippings and press files.
  • Personal assistance to the Director, including scheduling appointments and travel and providing assistance during meetings and other events. Ability to work independently and use analytical skills to complete tasks such as drafting correspondence on behalf of the director.

Applicants should demonstrate a strong interest in international relations, in particular the relationship between the Islamic World and the West. Work experience and/or coursework involving the Islamic World a plus. Bachelor's degree and two years of office experience required. Must have excellent interpersonal, organizational, and communication skills, as well as proficiency with intermediate-level word processing, spreadsheet, and database applications, as well as excellent drafting skills. Proficiency in French would be a plus.

A two year commitment to the organization is required.
